Data Protection Complaints Procedure

How to complain
A person may complain about how Stylux collects, uses, shares, secures, retains or responds to requests concerning personal information. Complaints can be submitted by email to info@stylux.uk using the subject ‘Data Protection Complaint’, or by post to the registered office.
Information to provide
- Name and reliable contact details.
- Relationship with Stylux or the relevant client platform.
- A clear description of the concern, relevant dates and systems.
- Copies of relevant communications, without sending unnecessary confidential information.
- The outcome sought.
Stylux procedure
- Log the complaint and identify any connected rights request, breach or urgent risk.
- Acknowledge receipt within 30 days; earlier acknowledgement is the operational target.
- Confirm scope and identity where needed, then assign an impartial investigator.
- Make appropriate enquiries and preserve relevant evidence.
- Keep the complainant informed without undue delay.
- Communicate the outcome, reasons, action and escalation route without undue delay.
- Record corrective action and retain the complaint record under the retention schedule.
Processor complaints
Where the complaint concerns information controlled by a Stylux client, Stylux will explain the controller–processor relationship and promptly assist or refer the matter to the client, without obstructing the individual’s rights.
ICO escalation
A complainant may raise concerns with the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. Stylux will not disadvantage a person for making a good-faith complaint.
